IFA Infosite - terms of business
This page sets out the terms under which IFA Systems Ltd will create and run a web site for you under our IFA
Infosite service. It also clarifies what we need from you in order to set up your site initially.
Please read the following text carefully. If you wish to proceed with ordering your IFA
Infosite please indicate your acceptance by pressing the "Accept" button at the bottom of this page. This will then take you to an on-line form which you can complete and submit to us. We will then contact you by e-mail to request any further details required to set up your Infosite.

Terms and Conditions of Business for IFA Infosite
We will set up a website for your firm based on the style of Infosite you have chosen, which will include the following features:
Domain name registration and hosting of your site
We will register the domain name of your choice (eg advisername.co.uk) in your name, and host your site under our own account. This will give you a web address, or URL, based on your domain name, eg www.advisername.co.uk.
If you already have your own web hosting account we can upload your main files to that account for an additional fee at the rate of £75 + VAT ph. If you would like a full hosting account for both your website and your e-mail we would be happy to advise on options available.
The basic package will, if required, provide a mailbox using your domain name, eg enquiries@advisername.co.uk, which we would forward to the mailbox of your choice for you to collect mail.
Please note that the newer styles of site require the hosting account for your domain to be php-enabled - we can supply more details as required. If your current hosting account does not offer php-enabling then we can offer a simple hosting solution which need not involve you in transferring your domain - ask us for details.

Site setup
We charge a standard one-off fee to set up your site, coloured to suit your requirements as closely as we can using websafe colours. We will send you a screenshot for approval before wwe colour the final files.
We will initially use our standard text for the 5
key pages about your firm, which you can amend yourself
online through our Website Manager
package.
We will also upload your own IDDs (and Menu if required)
in pdf format, provided by you in Word format by e-mail, but you can also do this yourself.
We will insert your logo, in either a jpg or a gif format supplied by you by e-mail, into the available place in the website header. If any extra work is required to make this usable (eg re-sizing or re-creating) we will quote beforehand.
All forms and e-mail links will be directed to the mailbox specified by you.
Site customisation and development If your existing logo is not in a web-friendly format we will quote for creating a suitable version, or for designing one from scratch if needed. We can also add or remove links to the standard navigation bars, and add extra pages for your own text - just let us know what you want and we will tell you what our charge will be.
We provide a choice of images for your website from our own image library, but can optimise and use your own images for a small additional cost, or can source and licence images solely for your use for a further fee.
If you like the basic content of our site but want something completely unique for your firm we can provide a customised reskin for a one-off charge. Talk to us about what you have in mind so we can prepare a quote.
Any customisation required for your site mustl be carried out by ourselves, as we do not allow third parties to access the files on our server. We can however incorporate files that your own designer might supply as part of your branding exercise for an small extra charge.
You can add further features from our Website
Add-ons section to enhance your site's capabilities - take a look and choose
what
you would like to add. Or you may wish to consider adding new features
after you have tried out your site for a while - the choice is
yours.
Compliance approval
We are used to working closely with the major Networks to obtain
their approval to the generic content and calculators of our Infosite packages, as well as your own pages, and ensure we use the
relevant Regulatory Statements and warnings, although different
Networks require different warnings. Your site will be set up under an address known only
to you and us, so you and your compliance officer can see it but
the general public cannot.
Once you have confirmed you are happy with the site as set up,
it needs to be passed by your compliance officer, whether in-house
or through your Network. If a copy of your site is required on
hard copy or CD we can supply this for a
flat fee of £40
+ VAT. Once approved we will make your site live under
your chosen web address. We recommend that for your own compliance
purpose
you also keep a copy of your site as published as a record, and
of each page as it is amended in the future.
We will contact you to ensure that your site is reviewed each year, liaising with your Network if applicable, as part of our monthly fee. If more frequent reviews are required then we reserve the right to charge a fee for any additional work involved - we will always give you a quote before doing any work.
Browser compatibility
Our Infosites have been tested with all current major browser software, to ensure they can be reliably viewed by as many people as possible. We cannot guarantee compatibility with any new browser software, or retrospective compatibility with upgrades to existing browsers.
Managing your site
We will give you telephone training on how to manage
your site on-line using our Website
Manager programme,
using a unique username and password, eg to
update the
Staff List, or to add a News item. We will also send you
Client Support e-newsletters on managing your site.
Updating your site
We undertake to maintain the generic information and calculators provided by us within your site as and when legislation changes, to maintain compliance to the best of our knowledge. Your site will automatically be updated with news feeds
If, after publication, you want to change the text on your own
pages we advise you to obtain approval from your Compliance Officer
before adding such changes to the live site. At any time we can change your regulator/ trading name/ logo for a small additional fee, which we will confirm once the details are known.
Search engines and metatags
We will add some basic metatags to your main pages including your firm's name, and submit your site on launch to the major free search engines as standard. For a more comprehensive service including search engine optimisation please contact us. We do not undertake e-marketing on your behalf.
Free listings
Once launched we will add your site to our Adviserweb free on-line directory.

Backing up and security
We take regular downloads of all the Infosites we manage where the files are stored on our own server. We also take regular off-site backups of all Infosite files, wherever hosted.
Costs
The current setup and monthly costs are all as displayed on the introductory page. We reserve the right to vary the monthly cost and/or content by giving you a minimum of 1 month's notice by e-mail to the latest mailbox we have for you. Please note that it is our policy to provide a comprehensive service at an affordable price, and we make every effort to keep changes to content or price to a minimum.
Payment
On receipt of your order we will invoice you for the initial setup cost, but any additional setup work will be invoiced on completion of the site. We will contact you by phone to set up a Direct Debit Mandate if possible, otherwise e-mail one to youm for receipt within 2 moths of adte of order. Payment of the initial setup fee will be requested by Direct Debit by the launch date or within 2 months of the order date, whichever is the sooner. All standard prices are as stated on our website: we will confirm the cost of any additional work requested by you, whether involving one-off or monthly charges, before we begin that work.
Monthly payments will be taken by Direct Debit, to commence when your finished site is published, or within 2 months of the order date, whichever is the sooner.
We will give you 14 days' notice of each payment, requested by
Direct Debit from your Bank. If for some reason your monthly payment
should
fail, we will inform you by e-mai within 1 week, asking for a
new Direct Debit Mandate to be completed and payment of the missed amount by cheque.
If payment for your site is not received within 14 days of the
due date, your site will be discontinued (or work will be suspended on unfinished sites) until the new Direct Debit Mandate arrangements
are in place. We will then apply a reconnection fee of £50 + VAT.
If for any reason outside our control your site should be suspended or taken off-line eg while amendments are made, the monthly payments will continue as normal, as the pages will still be available for you to work on.
We will provide you with invoices for ongoing monthly payments
quarterly in advance, unless you request otherwise.
We will do our best to keep prices as stated, but reserve the right to pass on any unavoidable increases to you by giving 1 month's notice in writing.
Cancellation
Should you wish to cease your Infosite subscription
we request that you give us 1 month's written notice in advance.
Your subscription will then continue until the end of that month,
and any outstanding monies will be requested by Direct Debit during that
time. Your site under your web address will
then be disabled, and any specific files, eg logos, which we have
created for you will be returned to you by e-mail.
IPR and copyright
The Intellectual Property Rights on any site based on IFA
Infosite resides with IFA Systems Ltd and its partner firms as applicable, although you or your suppliers retain the right over any text, logos or images you supplied to us for incorporation within your site.
The contents and images of an Infosite which are provided by IFA Systems Ltd remain the property of IFA Systems Ltd, and may not be reproduced in any form whatsoever without the express written permission of IFA Systems Ltd.
Please note that the licence for any images provided by IFA Systems as part of your website remain the property of IFA Systems Ltd, and cannot be used in any format for any other purpose whatsoever. However we can arrange for you to obtain such licences yourself if you so wish, to enable you to use them freely for your own literature.
Limit of liability
Although we aim to give our clients an excellent service, IFA Systems Ltd cannot be held liable for any direct or indirect loss due to delays in or interruption to our service. We shall not be held liable for any loss or damage caused by the use, misuse, unavailability or removal of any the services provided by our partner firms.
Variation
We reserve the right to vary these Terms at any time by giving you a minimum of 1 month's notice by e-mail to the latest mailbox we hold for you.

Review
We will contact you after 3 months to discuss with you how your site has been received, what amendments could be made, and what features could be added to enhance the services you offer to your clients.
